Group of companies

Run several companies under one login, give people a group role in every company, record intercompany entries once, and read consolidated reports with intercompany balances taken out.

Getting started

Every account can hold more than one company, each with its own books. The Group plan adds a group page, group roles, intercompany entries and consolidated reports.

  1. Choose the Group plan when you create your account. Your first company is set up straight away.
  2. Open Settings, then Group, and press Add a company for each other company. Only the account owner can add companies.
  3. For each company, press Modules and switch on what it uses. Every module is included in the Group plan.
  4. Under People across the group, give your finance director or group accountant a group role.
  5. Choose How you are billed: one invoice for the group, or one per company.

The Group plan runs in the cloud only, not in the desktop app.

How to

Add a company

  1. Open Settings, then Group, and press Add a company. You can also press Add a company on the Companies page.
  2. Fill in the Company name, Registered name and Financial year starts.
  3. Press Create company.

Each company keeps its own ledger, numbering, bank accounts and tax settings. On the Group plan, a new company starts with every module ready to switch on, and everyone with a group role gets access to it straight away.

Switch between companies

  1. Open the account menu at the bottom of the sidebar.
  2. Under Switch company, choose the company.

The Companies page lists every company you work in, your role in each, and when its books are closed to. Press Open to switch to one.

Choose the modules for each company

  1. Open Settings, then Group.
  2. Under Companies, press Modules next to the company.
  3. Tick the modules it uses and press Save.

Switching a module off hides its menus for that company. Nothing is deleted. Only the account owner or a group admin can do this.

Give someone a role across the group

  1. Open Settings, then Group.
  2. Under People across the group, press Change next to the person.
  3. Choose a role and press Save:
    • Group admin: runs the group: companies, modules, billing and people. Admin in every company.
    • Group finance: intercompany entries and consolidated reports. Accountant in every company.
    • Group viewer: reads the consolidated reports. Viewer in every company.
    • No group role: only the companies they were given one by one.

A group role gives the same access in every company, including companies you add later. Taking it away gives back what they had before. To give someone a role in one company only, use Settings, then Users, in that company. See /help/approvals for roles and approvals.

Record an intercompany entry

  1. Open Settings, then Intercompany entries, and press New intercompany entry. Or press Intercompany entries under Group books on the Group page.
  2. Choose Company A (is owed) and Company B (owes).
  3. Choose the Kind:
    • Charge: A bills B for a fee or a recharge. Income in A, an expense in B.
    • Transfer: A sends money to B, as a loan or funding. From A's bank to B's.
    • Settlement: B pays back what it owes A. From B's bank to A's.
  4. Press Continue.
  5. Enter the Date, Amount (TZS), Reference and Description, and choose the income, expense or bank account in each company.
  6. Press Post in both companies.

The entry is recorded once and posted in both companies' books together. The other side goes to company A's "Due from group companies" and company B's "Due to group companies", added to their charts the first time they are needed. Recording entries needs the account owner, a group admin or group finance.

See who owes whom

  1. Open Settings, then Intercompany entries.
  2. Who owes whom shows the balance between each pair of companies.
  3. Use the company list and press Filter to see one company's entries.

If a pair shows Books differ by an amount, the two companies' books disagree. Look for an entry posted to the due from or due to account outside the intercompany page.

Reverse an intercompany entry

  1. Open the entry from Intercompany entries.
  2. Open Reverse in both companies.
  3. Enter the Reversal date and the Reason, and press Reverse.

Both companies' entries are reversed together.

Read the consolidated reports

  1. Open Settings, then Group, and under Group books press Consolidated profit and loss or Consolidated balance sheet. You can also press Consolidated (group) on the profit and loss or balance sheet report.
  2. Choose the dates, and tick the Companies to include. None ticked means all.
  3. Press Show.

Every company is side by side, with an Eliminations column and the group total. Amounts due from and to group companies, intercompany income and expense, and the bank legs of transfers are taken out for you. Each company's own column is unchanged. On the balance sheet, press Download CSV or Print.

Choose how the group pays

  1. Open Settings, then Group.
  2. Under How you are billed, choose One invoice for the group or Split per company, and press Switch.

With one invoice, the group pays from the Group page by mobile money or card. With split billing, each company pays its share from its own Billing page, on its own invoice with its own TIN. Past invoices are under Invoices on the Group page.

Questions

Do the companies share their books?

No. Each company keeps its own ledger, numbering, bank accounts and tax settings. They share one login and one subscription.

Why does the consolidated report show an error about currencies?

The companies you chose keep their books in different currencies, so their figures cannot be added together. Choose companies that share one currency.

Can people work in only some of the companies?

Yes. Leave them with no group role and give them a role in each company they work in from Users. An accountant can post in one company and only view another.

Can a company leave the group later?

Yes. Talk to Mifumo and the company is moved onto its own plan with its books intact.
