Mifumo

Event ticketing

Set up an event with its ticket types, publish it after paying a one-off fee, and sell tickets from your own sale page. Buyers pay you by Lipa Namba or online, and get QR tickets by SMS and email. Ticket money goes straight to you, never to Mifumo.

Getting started

Event ticketing is an add-on module with no monthly price. Your account owner adds it from Settings, then Modules. Each event pays a one-off Mifumo fee before it goes live. Events, then Event fees, shows the fee.

  1. Open Events and press New event.
  2. Work through the four steps: Details, Tickets, Payment, and Review and publish. Each step saves on its own, so you can stop at any step and come back later.
  3. On Review and publish, check the fee and press Publish, or Pay TZS ... and publish when a fee is due.

Only the account owner or an admin can pay the event fee. A manager can set an event up and leave it for them to publish.

How to

Set up an event

  1. Open Events and press New event.
  2. Enter the Event name, Venue, City, Starts and Ends. The Link name is the end of the event's web address, like fiesta-2026. Mifumo fills it in from the name; it can't change once the event is published.
  3. Leave Seating on General admission. Reserved seats and tables are coming soon.
  4. Add About the event and a Poster (JPG, PNG or WebP, up to 10 MB) if you have one.
  5. Leave List in Mifumo Tickets ticked so people can find the event in Mifumo Tickets, the buyers' phone app, where they can search by city and date. Untick it for a private event; its sale link still works.
  6. Press Save and add tickets, or Save draft to finish later.

Add ticket types

  1. On the Tickets step, enter the ticket's Name, like Regular or VIP, its Price (0 for a free ticket) and How many for sale.
  2. Set Most per order to limit how many one buyer can take. Leave it empty for no limit.
  3. Set Sales open and Sales close if sales should only run for part of the time. Leave them empty to sell until the event.
  4. Press Add ticket type. Repeat for each kind of ticket, then press Continue.

The event's capacity is the total of How many for sale across its ticket types.

Choose how buyers pay you

  1. On the Payment step, under How buyers pay you, choose one:
    • Lipa Namba: buyers pay your number and type the transaction ID. You confirm each payment before the tickets go out.
    • Online: buyers pay by mobile money or card through your own Pesapal account, and get their tickets as soon as the payment goes through.
    • Both: buyers choose.
  2. For Lipa Namba, choose where the money is Paid into (M-Pesa, Mixx by Yas, Airtel Money, HaloPesa or Bank) and enter your Lipa Namba or till number, the Name buyers will see and, if you like, a Note for buyers.
  3. Press Save and continue.

Online needs your payment account connected first, under Events, then Payments setup.

Connect your payment account

  1. Open Events, then Payments setup. Only the owner can change it.
  2. Choose the Provider (Pesapal for now) and the Account type: Live for real payments, or Demo (sandbox) to try it out.
  3. Paste the Consumer key and Consumer secret from your Pesapal dashboard.
  4. Press Check and switch on. Mifumo checks the keys with Pesapal before anything is saved.
  5. Press Test connection any time to check the keys still work.

This is the same account as Settings, then Online payments, so your customers can pay invoices with it too. The page shows the address Pesapal sends payment news to. Mifumo always asks Pesapal itself before it sends any ticket, and checks again every few minutes on any payment that is still waiting.

Share your sale page

  1. Open the event from Events. Once it is published, the Link box has the sale page's address. Press Copy link.
  2. Open the link to see the page your buyers see. It has Share on WhatsApp and Download QR code, a QR code to print on posters and flyers.

Buyers don't need an account. They choose their tickets, enter their name and mobile number, and press Continue to payment. Their tickets are held for 30 minutes while they pay; if they don't pay in time, the tickets go back on sale.

Confirm a Lipa Namba payment

  1. When a buyer types a transaction ID, the order waits under Events, then Payments to confirm.
  2. Find the transaction ID in your mobile money messages or statement, and check the amount.
  3. Press Confirm if it is there. The buyer gets their tickets by SMS, and by email if they gave one.
  4. Press Reject if you can't find it. The buyer gets an SMS, and the tickets go back on sale.

The same transaction ID can't be used for two orders.

Give complimentary tickets

  1. Open Events, then Orders, and press Complimentary tickets. You can also press Complimentary on the event's page.
  2. Choose the Event and Ticket type, enter How many, the Guest's name and Mobile number, and an Email if you have one.
  3. Press Issue tickets. The guest gets their QR tickets by SMS, and by email if you added it.

Complimentary tickets are free and count against the tickets left to sell. They can be given for a live event, even after sales close.

Find an order or send tickets again

  1. Open Events, then Orders. Search by order reference, transaction ID, buyer's name or phone number, or filter by event or status.
  2. Open an order to see what was bought and each ticket's code.
  3. Press Send tickets again if the buyer lost them. You can also copy the tickets link from the order and send it yourself.
  4. Press Void on a ticket to stop one ticket getting anyone in.

Refund an order

  1. Open the order from Events, then Orders. Only the owner can refund.
  2. Under Refund, type Why, then press the refund button.
    • Paid online: the money goes back through your payment account to the account the buyer paid from. If Pesapal refuses, nothing changes.
    • Paid by Lipa Namba: send the money back yourself, then press Record refund.
  3. The order's tickets stop working and go back on sale. The buyer gets an SMS.

If a buyer pays online after their order has expired and the tickets went to someone else, the order says so and keeps no tickets. Refund it from the same place.

Pay the fee and publish

  1. On Review and publish, check the event, its tickets and how buyers pay. Anything still missing is listed in red.
  2. The fee box shows the fee, any discount or credit, and what is due now.
  3. If nothing is due, press Publish and the event goes on sale. If a fee is due, press Pay TZS ... and publish and pay with mobile money or card. The event goes live as soon as the payment is confirmed, and the receipt is emailed to you.
  4. If the fee box says your event gets a custom quote, press Ask for a quote. Once Mifumo sets the fee, come back to the same step to pay and publish.

The invoice is under Events, then Event fees, and on the event's page.

Check people in at the door

  1. On each phone at the door, open Events, then Check-in, and press Open scanner on the event. Do this while you have signal, so the phone downloads the door list.
  2. Enter the Gate, like Main gate or VIP entrance, so you can see how many came in at each.
  3. Press Use the camera and point it at the ticket's QR code. You can also type the code under the QR, like ABCDE 23456, or use a handheld scanner.
  4. Green Let in means the ticket is good. Red means don't let them in: Already used shows when and at which gate it got in, Not valid is a void ticket, and Not a ticket is a code Mifumo didn't make.

Each ticket gets in once. If the signal drops, keep the page open: the scanner keeps checking tickets from the door list and uploads the scans when the signal comes back. If two phones let the same ticket in while offline, the first scan counts and the other shows in the log as already used.

The camera works in Chrome on Android phones. On an iPhone, type the code or use a handheld scanner.

See who has come in

  1. Open Events, then Check-in, and press Log on the event.
  2. The top shows how many are in, the count for each gate, and how many were turned away. The page updates itself while it is open.
  3. Choose a Result to see, for example, only the tickets that were already used.

To give someone scanning only, with no sales or money, make a custom role under Settings, then Roles and approvals, with only Check-in ticked under Events. For confirming Lipa Namba payments only, tick only Pending payments.

Postpone or cancel an event

  1. Open the event from Events.
  2. Press Postpone to take it off sale and keep its fee. Press Back on sale when you have a new date.
  3. Press Cancel event to stop it for good. If you paid a fee and no tickets were sold, the fee becomes credit for your next event.

Settings

Questions

How is the fee worked out?

It is one fee per event, shown under Events, then Event fees. If the fee depends on the event's size, that page shows the fee for each size; the size is the total tickets across all its ticket types.

What if I add more tickets after publishing?

The fee you paid covers the event's capacity when you paid. For now you can't raise the total above that; paying a top-up to go bigger is coming soon.

Does Mifumo hold my ticket money?

No. Buyers pay you directly into your own Lipa Namba, till or bank account, or into your own Pesapal account. Mifumo only charges the event fee.

How do the tickets work?

Each ticket has its own QR code and a code like ABCDE 23456. Buyers get a link by SMS (and email) that shows their tickets; they can show it on their phone or print it. Each QR code lets one person in, once, through the scanner under Check-in.

Are ticket sales in my books?

Not yet. Orders and payments are kept in Orders for now. Posting ticket sales to your accounts is coming soon.

Why can't I lower the number of tickets or delete a ticket type?

You can't set How many for sale below what is already sold or held in unpaid orders, and a ticket type that has orders can't be deleted. Set its Sales close time to stop selling it instead.

What happens to credit?

Credit from a cancelled event is used up first the next time you publish an event. If a fee is paid twice for the same event (two checkouts both completed), or a payment counted on credit you had already used on another event, the money is not lost: it becomes credit, and the next Pay and Publish asks only for what is still due.
